Restaurant phone script

Updated

Problem it solves

The same phone questions show up while guests are in the room. You need a script before you pay for an attendant.

Best tool

  • ChatGPT (free chat)
  • Claude (free chat)
  • Gemini (free chat)
  • Copilot (free chat)

The free chat is enough for one draft. ChatGPT, Claude, Gemini, and the free Microsoft Copilot chat can each do this. A paid plan only helps if you hit a usage limit. Copilot inside Word, Excel, or Outlook is a separate paid Microsoft 365 feature. You do not need it to try this once.

Copy-paste prompt

Write a phone-attendant script for my restaurant covering hours, takeout, reservations, and job inquiries, in a playful personality. Include when to transfer to a human: [details]

Replace every [bracket]. If you cannot fill one, delete that line.

Template

Greeting: [how you answer]
Hours: [hours]
Takeout: [yes or no, and how to order]
Reservations: [how to book, party-size limit]
Jobs: [how to apply]
Parking: [where to park]
Allergies and large parties: [your rule]
Transfer to a person when: [list]
Never say unless it is written above: a price, a wait time, a table you cannot see.

Example output

A usable draft is a short script: greeting, hours, takeout, reservations, jobs, and a clear transfer line. It should not invent a wait time or a price.

Tips

  • Write the real answers in the [details] bracket. The tool should arrange them, not guess your hours.
  • Give callers a way to reach a person. The restaurants guide on this site says some callers will want that.

Time saved

Estimate: writing the first script from scratch often takes a sitting. A draft from notes you already have is shorter. You still read it out loud before anyone uses it.

How to use it

  1. Copy the prompt. Copy the prompt on this page into a free chat.
  2. Fill every bracket. Replace each [bracket] with a fact from your own notes. If you cannot fill one, delete that line instead of guessing.
  3. Edit before you use it. Read the draft against your notes. Delete any price, date, name, or promise you did not supply. You decide what gets sent.
