Catering and event replies
Updated
Problem it solves
Event inquiries sit in the inbox while the floor is busy. The reply still has to sound like you, and a person still has to approve dates and money.
Best tool
- ChatGPT (free chat)
- Claude (free chat)
- Gemini (free chat)
- Copilot (free chat)
The free chat is enough for one draft. ChatGPT, Claude, Gemini, and the free Microsoft Copilot chat can each do this. A paid plan only helps if you hit a usage limit. Copilot inside Word, Excel, or Outlook is a separate paid Microsoft 365 feature. You do not need it to try this once.
Copy-paste prompt
You are the guest-communications assistant for our restaurant group. Draft replies to these catering and event inquiries in our warm Southern voice, flag anything needing a manager, and list follow-up dates: [paste inquiries]
Replace every [bracket]. If you cannot fill one, delete that line.
Example output
A usable draft is one short reply per inquiry, a note when a manager should take it, and a follow-up date. It should not invent a price, a room minimum, or a date you did not provide.
Tips
- Paste the inquiry with the guest name removed if you are in a free chatbot.
- The directory entry for Charleston Hospitality Group is about their own Claude work. This prompt is the exercise on that page, not a claim about their results.
Time saved
Estimate: a few minutes per reply once the notes are in front of you, instead of starting from a blank email. Checking dates is still on you.
How to use it
- Copy the prompt. Copy the prompt on this page into a free chat.
- Fill every bracket. Replace each [bracket] with a fact from your own notes. If you cannot fill one, delete that line instead of guessing.
- Edit before you use it. Match every date, guest count, and price to the inquiry and to your real rules. Delete anything the draft added.
