Reservation rules for a phone agent

Updated

Problem it solves

Reservation rules live in the host’s head. An agent, human or not, needs them written down.

Best tool

  • ChatGPT (free chat)
  • Claude (free chat)
  • Gemini (free chat)
  • Copilot (free chat)

The free chat is enough for one draft. ChatGPT, Claude, Gemini, and the free Microsoft Copilot chat can each do this. A paid plan only helps if you hit a usage limit. Copilot inside Word, Excel, or Outlook is a separate paid Microsoft 365 feature. You do not need it to try this once.

Copy-paste prompt

List every reservation rule my host follows (table sizes, pacing, patio, allergies) as a clear policy an AI phone agent could follow: [describe]

Replace every [bracket]. If you cannot fill one, delete that line.

Template

Party sizes we take: [sizes]
Pacing: [turns or gaps]
Patio: [rule]
Allergies: [rule]
We do not book when: [list]
Always get a person when: [list]

Download saves a .txt file. reservation-policy.txt

Example output

A usable draft is a policy in plain rules: party size, pacing, patio, allergies, and what to do when a rule is missing. It should not add a rule you did not describe.

Tips

  • This wording is in seed/use-cases.json under cannon-st-reservations. That entry is not in the live directory.
  • Walk the draft with the person who actually seats the room before you hand it to any tool.

Time saved

Estimate: interviewing the host is the work. Typing the policy from that conversation is the shorter part.

How to use it

  1. Copy the prompt. Copy the prompt on this page into a free chat.
  2. Fill every bracket. Replace each [bracket] with a fact from your own notes. If you cannot fill one, delete that line instead of guessing.
  3. Edit before you use it. Read the draft against your notes. Delete any price, date, name, or promise you did not supply. You decide what gets sent.

Where this came from

  • Prompt text from seed/use-cases.json (cannon-st-reservations). Not a live directory entry.
