Front desk questions and handoffs
Updated
Problem it solves
The front desk answers the same questions all day. The hard part is writing the answers down and marking what staff still handle.
Best tool
- ChatGPT (free chat)
- Claude (free chat)
- Gemini (free chat)
- Copilot (free chat)
The free chat is enough for one draft. ChatGPT, Claude, Gemini, and the free Microsoft Copilot chat can each do this. A paid plan only helps if you hit a usage limit. Copilot inside Word, Excel, or Outlook is a separate paid Microsoft 365 feature. You do not need it to try this once.
Copy-paste prompt
List the 20 most common questions our front desk gets and write short, accurate answers plus when to hand off to staff: [paste call notes]
Replace every [bracket]. If you cannot fill one, delete that line.
Example output
A usable draft is a list of questions, a short answer for each, and a handoff line for anything clinical, billing-sensitive, or angry. It should not invent an answer you did not supply.
Tips
- Paste call notes, not a patient chart. Keep names and record numbers out of a general chatbot.
- If your notes only cover ten questions, do not let the draft invent ten more and publish them.
Time saved
Estimate: gathering the questions is the slow part, and you already do that on the phone. Turning a stack of notes into a list is the shorter part.
How to use it
- Copy the prompt. Copy the prompt on this page into a free chat.
- Fill every bracket. Replace each [bracket] with a fact from your own notes. If you cannot fill one, delete that line instead of guessing.
- Edit before you use it. Every published answer has to match what staff already say. Delete invented policies.

Start smaller. List your front desk’s most common non-clinical questions and write clear answers. That becomes the knowledge base for any phone or chat tool.
