Reply with two real appointment times
Updated
Problem it solves
A customer wrote. You need a short reply with two times, not a paragraph that promises the wrong day.
Best tool
- ChatGPT (free chat)
- Claude (free chat)
- Gemini (free chat)
- Copilot (free chat)
The free chat is enough for one draft. ChatGPT, Claude, Gemini, and the free Microsoft Copilot chat can each do this. A paid plan only helps if you hit a usage limit. Copilot inside Word, Excel, or Outlook is a separate paid Microsoft 365 feature. You do not need it to try this once.
Copy-paste prompt
Reply to this customer in a warm, short tone and offer two appointment times: Customer message, with the name removed if you want: [paste] Times you can keep: [time 1] and [time 2] Business: [name]
Replace every [bracket]. If you cannot fill one, delete that line.
Template
Hello [name or "there"], Thanks for writing about [what they asked]. We can do [time 1] or [time 2]. Reply with the one that works and we will confirm. [your name] [business]

Example output
A usable draft is a short reply that answers the question and offers only the two times you typed. It does not add a price or a diagnosis.
Tips
- This sentence is the front-desk prompt quoted in marketing/posts-week1-2.md (day 8, 5:30pm draft).
- If you do not have two open times, do not let the draft invent them.
Time saved
Estimate: one reply is a minute or two of editing when the times are already chosen. Choosing the times is your calendar, not the chat.
How to use it
- Copy the prompt. Copy the prompt on this page into a free chat.
- Fill every bracket. Replace each [bracket] with a fact from your own notes. If you cannot fill one, delete that line instead of guessing.
- Edit before you use it. Read the draft against your notes. Delete any price, date, name, or promise you did not supply. You decide what gets sent.
Where this came from
- Quoted in marketing/posts-week1-2.md as a front-desk prompt for salons, dentists, and shops.
