Twenty questions the phone already gets
Updated
Problem it solves
You cannot brief an assistant, or a new hire, until the common questions have answers.
Best tool
- ChatGPT (free chat)
- Claude (free chat)
- Gemini (free chat)
- Copilot (free chat)
The free chat is enough for one draft. ChatGPT, Claude, Gemini, and the free Microsoft Copilot chat can each do this. A paid plan only helps if you hit a usage limit. Copilot inside Word, Excel, or Outlook is a separate paid Microsoft 365 feature. You do not need it to try this once.
Copy-paste prompt
List the 20 most common questions our phone gets and write short, accurate answers. Then list which calls should always go to a person: [paste your notes]
Replace every [bracket]. If you cannot fill one, delete that line.
Example output
A usable draft answers only from your notes, keeps answers short, and ends with a handoff list. If your notes have fewer than 20 questions, the draft should not invent the rest.
Tips
- This is the prompt in the unpublished newsletter draft at seed/newsletter-001.md.
- Put refunds, complaints, and safety on the handoff list unless your notes already answer them.
Time saved
Estimate: if the notes exist, editing answers is a short pass. If you still have to remember the questions, that remembering is the work.
How to use it
- Copy the prompt. Copy the prompt on this page into a free chat.
- Fill every bracket. Replace each [bracket] with a fact from your own notes. If you cannot fill one, delete that line instead of guessing.
- Edit before you use it. Read the draft against your notes. Delete any price, date, name, or promise you did not supply. You decide what gets sent.
