Review reply

Updated

Problem it solves

A review is sitting there and the reply is either silent or too much. You need a short public answer.

Best tool

  • ChatGPT (free chat)
  • Claude (free chat)
  • Gemini (free chat)
  • Copilot (free chat)

The free chat is enough for one draft. ChatGPT, Claude, Gemini, and the free Microsoft Copilot chat can each do this. A paid plan only helps if you hit a usage limit. Copilot inside Word, Excel, or Outlook is a separate paid Microsoft 365 feature. You do not need it to try this once.

Copy-paste prompt

Write a public reply to this review. Under 80 words. Thank them for the specific point they made. Do not offer a refund, a gift, or a discount unless the "offer we will actually make" line below says so. Do not argue.

Star rating: [1-5 or unknown]
Channel: [Google / Yelp / Facebook / other]
Their words: [paste the review]
Fact we can confirm: [one fact, or "none beyond the review"]
Offer we will actually make: [none / a phone call / something you typed]
Sign off: [name and business]

Replace every [bracket]. If you cannot fill one, delete that line.

Template

Thanks for taking the time to write about [the specific point].
[one sentence that matches a fact you confirmed, or "We want to look into this."]
[offer line, or leave this out]
[name]
[business]

Example output

A usable draft thanks them, mentions the specific point, and either invites a call or stops. It does not apologize for a fact you did not confirm, and it does not offer money you did not approve.

Tips

  • Public replies are public. Do not paste a phone number, an order number, or a medical detail into the reply.
  • If the review describes something you have not checked, say you want to look into it. Do not confess to a story you have not verified.

Time saved

Estimate: one reply is a few minutes. A month of replies is mostly reading them, which you still have to do.

How to use it

  1. Copy the prompt. Copy the prompt on this page into a free chat.
  2. Fill every bracket. Replace each [bracket] with a fact from your own notes. If you cannot fill one, delete that line instead of guessing.
  3. Edit before you use it. Read it as if it were on a sign in the window. Cut anything you would not say out loud.
