Quote follow-up email
Updated
Problem it solves
The quote went out and the follow-up did not. You want one email that makes it easy to reply yes, no, or later.
Best tool
- ChatGPT (free chat)
- Claude (free chat)
- Gemini (free chat)
- Copilot (free chat)
The free chat is enough for one draft. ChatGPT, Claude, Gemini, and the free Microsoft Copilot chat can each do this. A paid plan only helps if you hit a usage limit. Copilot inside Word, Excel, or Outlook is a separate paid Microsoft 365 feature. You do not need it to try this once.
Copy-paste prompt
Write one follow-up email after a quote. Under 120 words. Do not change the price. Do not add a discount. Give them a way to say no. What was quoted: [job or product] Date the quote went out: [date] Price, if you want it repeated: [price or "do not repeat the price"] Your name: [name]
Replace every [bracket]. If you cannot fill one, delete that line.
Template
Subject: Your [job] quote from [date] Hello [name], Checking in on the quote we sent on [date] for [job]. [price line or leave out] If you want to go ahead, reply to this email. If you have decided not to, a quick no is welcome too. [your name]
Download saves a .txt file. quote-follow-up.txt
Example output
A usable draft reminds them what the quote was, repeats the price only if you allowed it, and lets them decline. No “last chance.”
Tips
- One follow-up is politer than five. If you want a sequence, use the estimate follow-up prompt and adapt the trade.
- If the quote expired, say so only if that is your real rule.
Time saved
Estimate: one email is a few minutes. It does not close the job by itself.
How to use it
- Copy the prompt. Copy the prompt on this page into a free chat.
- Fill every bracket. Replace each [bracket] with a fact from your own notes. If you cannot fill one, delete that line instead of guessing.
- Edit before you use it. Read the draft against your notes. Delete any price, date, name, or promise you did not supply. You decide what gets sent.
