Follow-up after a real meeting

Updated

Problem it solves

You met, you said you would write, and the email waits until it is awkward. You need the note the same day.

Best tool

  • ChatGPT (free chat)
  • Claude (free chat)
  • Gemini (free chat)
  • Copilot (free chat)

The free chat is enough for one draft. ChatGPT, Claude, Gemini, and the free Microsoft Copilot chat can each do this. A paid plan only helps if you hit a usage limit. Copilot inside Word, Excel, or Outlook is a separate paid Microsoft 365 feature. You do not need it to try this once.

Copy-paste prompt

Write a follow-up email after a meeting that already happened. Under 120 words. Mention one specific thing from the notes. State the next step we agreed. Do not pitch a product we did not discuss.

Who: [name]
Where or when we met: [fact]
One thing they said: [from your notes]
Next step we agreed: [step or "none yet"]
My name: [name]

Replace every [bracket]. If you cannot fill one, delete that line.

Example output

A usable draft sounds like a person who was in the room. It includes the next step only if you wrote one. It does not attach a brochure they did not ask for.

Tips

  • If you did not agree a next step, the email can ask whether a next step is useful. It should not invent a meeting.
  • This is not a cold email. Do not use it on people you have not met.

Time saved

Estimate: the email is a few minutes when the notes are fresh. Waiting a week does not make the draft better.

How to use it

  1. Copy the prompt. Copy the prompt on this page into a free chat.
  2. Fill every bracket. Replace each [bracket] with a fact from your own notes. If you cannot fill one, delete that line instead of guessing.
  3. Edit before you use it. Read the draft against your notes. Delete any price, date, name, or promise you did not supply. You decide what gets sent.
