Sort the ten biggest tasks in your week
Updated
Problem it solves
AI advice starts too big. You need your actual week on paper, then a line on each task.
Best tool
- ChatGPT (free chat)
- Claude (free chat)
- Gemini (free chat)
- Copilot (free chat)
The free chat is enough for one draft. ChatGPT, Claude, Gemini, and the free Microsoft Copilot chat can each do this. A paid plan only helps if you hit a usage limit. Copilot inside Word, Excel, or Outlook is a separate paid Microsoft 365 feature. You do not need it to try this once.
Copy-paste prompt
List the 10 tasks that take the most hours in my week as a small business owner, and for each one say whether AI could draft it, do it, or shouldn't touch it: [describe your week]
Replace every [bracket]. If you cannot fill one, delete that line.
Example output
A usable draft is about ten tasks from your description, each marked draft, do, or leave it alone. “Do” should be rare. Sending, paying, and hiring stay with you.
Tips
- Describe a real week. Include the annoying tasks, not a slogan.
- If it tells you to hand a customer complaint or a payment to a bot, move that task to “shouldn’t touch.”
Time saved
Estimate: writing down the week is the useful part and may take longer than the draft. The label on each task is a suggestion.
How to use it
- Copy the prompt. Copy the prompt on this page into a free chat.
- Fill every bracket. Replace each [bracket] with a fact from your own notes. If you cannot fill one, delete that line instead of guessing.
- Edit before you use it. Read the draft against your notes. Delete any price, date, name, or promise you did not supply. You decide what gets sent.
