Meeting notes into decisions
Updated
Problem it solves
The meeting ends and the decisions were never written down. You need owners and dates, not a transcript.
Best tool
- ChatGPT (free chat)
- Claude (free chat)
- Gemini (free chat)
- Copilot (free chat)
The free chat is enough for one draft. ChatGPT, Claude, Gemini, and the free Microsoft Copilot chat can each do this. A paid plan only helps if you hit a usage limit. Copilot inside Word, Excel, or Outlook is a separate paid Microsoft 365 feature. You do not need it to try this once.
Copy-paste prompt
Summarize this meeting into decisions, owners, and dates. Leave out names and anything private: [paste notes]
Replace every [bracket]. If you cannot fill one, delete that line.
Example output
A usable draft is three lists: decisions, owners, dates. If the notes did not name an owner or a date, the draft should say so instead of inventing one.
Tips
- The prompt already says to leave out names and anything private. Follow that before you paste.
- A summary is not minutes approved by the group until someone who was in the room reads it.
Time saved
Estimate: cleaning notes after a meeting is often a few minutes of editing. The value is the decisions that would otherwise be lost, not a clocked total.
How to use it
- Copy the prompt. Copy the prompt on this page into a free chat.
- Fill every bracket. Replace each [bracket] with a fact from your own notes. If you cannot fill one, delete that line instead of guessing.
- Edit before you use it. Do not assign a person a task they did not take. If the notes are unclear, write “not decided.”
