Plain-English client update
Updated
Problem it solves
Clients get updates full of file language. They need the next step and the date, in words they use.
Best tool
- ChatGPT (free chat)
- Claude (free chat)
- Gemini (free chat)
- Copilot (free chat)
The free chat is enough for one draft. ChatGPT, Claude, Gemini, and the free Microsoft Copilot chat can each do this. A paid plan only helps if you hit a usage limit. Copilot inside Word, Excel, or Outlook is a separate paid Microsoft 365 feature. You do not need it to try this once.
Copy-paste prompt
Rewrite this case update for a client in plain English, under 100 words, warm but clear about next steps and dates: [paste update]
Replace every [bracket]. If you cannot fill one, delete that line.
Example output
A usable draft is under 100 words, states the next step, and keeps the dates that were in your note. It adds no new fact.
Tips
- Remove the client name and the matter number before you paste into a general chatbot.
- The Case Status entry says a staff member reviews each reply before it is sent. Do the same.
Time saved
Estimate: rewriting one update you already wrote is a few minutes of editing. It is not a measured savings across a firm.
How to use it
- Copy the prompt. Copy the prompt on this page into a free chat.
- Fill every bracket. Replace each [bracket] with a fact from your own notes. If you cannot fill one, delete that line instead of guessing.
- Edit before you use it. Put the draft next to the original. Delete any date, fee, or outcome that was not in your note.
