Staffing notes from hourly numbers
Updated
Problem it solves
The busy hour is in a spreadsheet and the schedule is still a guess. You want the pattern in sentences.
Best tool
- ChatGPT (free chat)
- Claude (free chat)
- Gemini (free chat)
- Copilot (free chat)
Paste a small table into the free chat. That is enough for one pass. Copilot inside Excel is paid with Microsoft 365. Do not connect a bookkeeping login, and do not paste a full customer list.
Copy-paste prompt
Explain in plain English how our foot-traffic or sales data by hour could change our staffing schedule: [paste data]
Replace every [bracket]. If you cannot fill one, delete that line.
Example output
A usable draft points at the busy and quiet hours in the table you pasted and suggests where a person might be added or cut. It should not invent sales you did not paste.
Tips
- Paste a small table, with the hour and the number. Say what the number is.
- A suggestion is not a schedule. You still have to cover breaks, skill, and the law where you operate.
Time saved
Estimate: reading one week of hourly rows is the work. The draft can shorten the write-up. It does not know your labor rules.
How to use it
- Copy the prompt. Copy the prompt on this page into a free chat.
- Fill every bracket. Replace each [bracket] with a fact from your own notes. If you cannot fill one, delete that line instead of guessing.
- Edit before you use it. If a sentence cites a number that is not in your table, delete the sentence.
