Recap after a discovery call
Updated
Problem it solves
The first call ends and both sides remember a different scope. A recap keeps the next step small and clear.
Best tool
- ChatGPT (free chat)
- Claude (free chat)
- Gemini (free chat)
- Copilot (free chat)
The free chat is enough for one draft. ChatGPT, Claude, Gemini, and the free Microsoft Copilot chat can each do this. A paid plan only helps if you hit a usage limit. Copilot inside Word, Excel, or Outlook is a separate paid Microsoft 365 feature. You do not need it to try this once.
Copy-paste prompt
Write a recap email after a discovery call. Under 150 words. Include what they said they need, the next step I promised, and one thing that is out of scope if I listed it. Do not quote a price unless it is below. Client: [name or company] What they need: [from your notes] Next step I promised: [step and date if any] Out of scope: [list or "not discussed"] Price quoted: [amount or "no price quoted"] My name: [name]
Replace every [bracket]. If you cannot fill one, delete that line.
Template
Subject: Recap of our call Hello [name], You said you need [need]. I will [next step] by [date or "with no date promised"]. Not in this next step: [out of scope]. [price line only if you quoted one] Reply if I missed something. [your name]

Example output
A usable draft is a recap the client can correct. It separates the need, the next step, and the out-of-scope line. No price you did not quote.
Tips
- Send it the same day, while you can still tell a bad sentence from the call.
- If they reply with a correction, the correction wins. Do not defend the draft.
Time saved
Estimate: the recap is a few minutes from notes. It can prevent a longer argument later. That prevention is not a number I can honestly give you.
How to use it
- Copy the prompt. Copy the prompt on this page into a free chat.
- Fill every bracket. Replace each [bracket] with a fact from your own notes. If you cannot fill one, delete that line instead of guessing.
- Edit before you use it. Read the draft against your notes. Delete any price, date, name, or promise you did not supply. You decide what gets sent.
