Maintenance reminder

Updated

Problem it solves

Past customers need a reminder before the season, and the reminder should not invent a failure.

Best tool

  • ChatGPT (free chat)
  • Claude (free chat)
  • Gemini (free chat)
  • Copilot (free chat)

The free chat is enough for one draft. ChatGPT, Claude, Gemini, and the free Microsoft Copilot chat can each do this. A paid plan only helps if you hit a usage limit. Copilot inside Word, Excel, or Outlook is a separate paid Microsoft 365 feature. You do not need it to try this once.

Copy-paste prompt

Write a maintenance reminder for past customers. Under 100 words. Describe only the service below. Do not say their equipment will fail. Do not invent a discount.

Service: [what you do]
Season or timing: [when]
How to book: [phone or link]
Price, if you publish it: [price or "do not mention price"]
Business: [name]

Replace every [bracket]. If you cannot fill one, delete that line.

Example output

A usable draft says what you do, when it is useful, and how to book. It does not threaten a breakdown.

Tips

  • Send it to customers who had the work, not a purchased list.
  • If you have no open calendar, do not send a reminder that you cannot fulfill.

Time saved

Estimate: the reminder text is a few minutes. The list of who should get it is your records, and that is the longer part.

How to use it

  1. Copy the prompt. Copy the prompt on this page into a free chat.
  2. Fill every bracket. Replace each [bracket] with a fact from your own notes. If you cannot fill one, delete that line instead of guessing.
  3. Edit before you use it. Read the draft against your notes. Delete any price, date, name, or promise you did not supply. You decide what gets sent.
